RM Financial (“we”, “us”) provides bookkeeping and related services to small businesses in Toronto and the Greater Toronto Area. This notice explains what personal information this website collects, why, and how it is handled, in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
When you submit the contact or consultation form, we collect your name, email address, business name, phone number (optional), your message, the type of request, any plan you selected, and the date and time you gave consent.
Please do not send financial documents, banking credentials, social insurance numbers, or other government identifiers through the website. We will arrange a secure way to exchange documents once we work together.
Like most websites, our hosting provider automatically processes technical information such as your IP address, browser type, and the pages requested, to deliver the site and protect it from abuse. We also collect website usage statistics through Google Analytics, described below. To prevent spam, we also keep a one-way encoded (hashed) form of your email address for about two hours; it cannot be used to contact you.
How we use it
We use your information only to respond to your inquiry, discuss and provide the services you ask about, and keep a record of our communication. We do not sell or rent personal information, and we do not use it for advertising or add you to marketing lists.
Consent
By submitting a form, you consent to us collecting and using your information as described here. You may withdraw consent at any time by contacting us; we will then stop contacting you and delete your inquiry unless we must keep it by law.
Analytics and cookies
We use Google Analytics to understand how visitors use the website, such as which pages are viewed, how visitors arrive, and general location (city or country) and device type. Google Analytics sets cookies in your browser and receives your IP address and browser details; it does not receive anything you type into our forms. We use these reports only to improve the website, not for advertising, and they do not identify you to us.
You can block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on. The website works normally without analytics cookies. Other than analytics, the only cookies are those needed for authorized RM Financial staff to sign in to the site’s administration area.
Service providers and storage location
We use trusted service providers to operate this website: Vercel (website hosting), Supabase (secure database for inquiries), Resend (delivery of inquiry notifications to our business email), and Google (website analytics). These providers process information on our behalf, under their own security and confidentiality obligations, and may store it in the United States. Information stored outside Canada may be accessible to courts, law enforcement, and national security authorities of that country.
Safeguards and access
Inquiries are transmitted over encrypted connections (HTTPS). Inquiry records can only be viewed by authorized RM Financial administrators who sign in to the site; access is restricted by account and enforced at the database level.
How long we keep information
We keep inquiries for as long as needed to respond and follow up. Inquiries that do not lead to a working relationship are deleted within 24 months. If you become a client, records relating to our services are kept as set out in our engagement agreement and as required by law.
Your rights
You may ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. We will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
